Policy All successful candidates will receive personal certificates giving details of the qualification they have achieved and the level of achievement. The Board issues certificates to a centre within approximately six weeks of an assessment. Where assessments run on consecutive or near-consecutive days as part of a series booked at the same time, the day of the last assessment is taken as the start of the six-week period. Certificates cannot be issued for a minimum of 14 days after the final assessment day, to ensure time for checking results, appeals etc.
Exceptionally, if payment has not been received from a centre by the end of the six-week period following assessment, certificates may have to be withheld until payment has been made. However, in the event of non-payment the Board will take every step to ensure individual candidates are not disadvantaged and will provide individual certificates on written request.
ProceduresReporting centre results• A designated copy of the result list(s) is sent to the centre before the assessment, confirming the number and names of candidates with the qualification and level entered, and with the results column left blank.• The assessor holds two further copies of the results list, one marked for head office, the other as the assessor’s copy. Following assessment, the assessor takes all three copies of the results list to complete and sign.• The assessor sends the completed head office copy to ESB administration within two days, with copies of reports for checking; the completed centre copy is returned to the centre organiser with written reports and the third copy is retained by the assessor. The centre is required to keep the completed Results list for a period of three years and may be asked for these during an ESB Moderation visit.
Completing certificates• The office issues certificates against the signed results list received from the assessor by head office.• Certificates include candidate’s name, qualification title and level, grading/level of attainment and date of award. • The qualifications regulators' logo on certificates for accredited qualifications indicates that the qualification is accredited only for England, Wales and Northern Ireland. • Certificates are sent to the registered ESB Organiser in a centre.
Absence through IllnessA candidate who is ill and cannot take the assessment may apply for a half-fee credit for re-entry within six months, enclosing a medical certificate. The application must be made to ESB within 30 days of the original assessment date, with a medical certificate giving the candidate name, reference number and the date the assessment was scheduled. ESB will issue a half-fee credit slip for an assessment at the same level in the same subject, which can be used for an assessment within 6 months of the original date on payment of half the current entry fee. If a re-entry credit is used towards entry for a higher level assessment, the difference in fee is also payable i.e. the full fee of the higher-level examination minus half the fee of the lower level examination.Non-medical reasons for half-fee re-entry credits are not normally acceptable, although ESB will be sympathetic to bona fide cases in which appropriate evidence is provided.
Replacement certificates• If a certificate has been lost, a Request form for a replacement certificate must be completed by the original candidate or organiser. The Form is available for download (see right) or by contacting the ESB office. • A written request for a replacement is checked against information given.• Any request for an amended certificate (e.g. misspelled name) must be accompanied by the certificate to be updated. The original faulty certificate is then destroyed by ESB.• Where information is incomplete, the request can be compared against the full information kept for each assessment: i.e. date of assessment, name of candidate, name and address of centre, name of organiser, name of assessor, qualification taken and result, including level of attainment.• Full records of certification are available from 1980; partial records from 1969.• Replacement certificates are labelled as such.• The candidate is asked to return the replacement if the original certificate is subsequently found.
Replacement certificate fee • A charge is made for a replacement certificate to replace one lost, as indicated on the reverse of the annual fees list (see Downloads/Other Documents for Fees List). A cheque for the appropriate amount per certificate should be made payable to: English Speaking Board (International) Ltd.• No charge is made for an amended certificate if the amendment is to reinstate correct information originally given by the centre.
